Why add a YouTube video to your slideshow?

There are a few terrific types of YouTube videos you can add to a slideshow and enhance your presentation.

Instructions: If your slideshow includes details on a task, a how-to video from YouTube is an effective way to show the steps. This could be instructions for assembling a product, performing an exercise, or preparing a dish.

Demonstration: Similar to an instructional video on performing a task, a demonstration is another great video to include. You may be announcing a new product or service where a demo from your YouTube channel would complete the presentation.

Information: Sometimes impactful videos can invoke emotion especially for charitable organizations. Consider a video that tells a story or shows the subject of your cause.

Let’s move onto how to embed the YouTube video in your PowerPoint presentation.

Method 1: Embed the YouTube video

You can embed a YouTube video into your PowerPoint slideshow in just a handful of steps using the video’s URL.

  1. Head to the video on YouTube and do one of the following to copy the link:some text
    • Select the URL in the address bar, right-click, and pick Copy.
  • Click Share below the video and pick Copy to the right of the link.
  1. Once the URL is on your clipboard, open the slide in PowerPoint where you want the video.
  2. Go to the Insert tab and select Video > Online Videos in the ribbon.
  1. In the pop-up window, place your cursor in the box at the top for the link, right-click, and pick Paste.
  1. You’ll then see a preview of the video; simply click Insert to embed it on your slide.

You can then press Play to view the video.

You’ll also notice that some of the YouTube video buttons and features are available. For instance, you can use the volume slider, show or hide the captions, and adjust the playback speed.

Note: If you’re using a version before PowerPoint 2019, you won’t currently see the option to insert a URL in the Online Video window. Instead, follow these steps:

  1. Open the video on YouTube, select Share, and choose Embed.
  2. Click Copy to place the code on your clipboard.
  3. Open the slide in PowerPoint, go to the Insert tab, and click Videos > Online Videos.
  4. Right-click inside the From a Video Embed Code box and pick Paste.
  5. Press Enter or Return to add the video to the slide.

Method 2: Insert a screen recording of the YouTube video

If you’re struggling to embed the YouTube video using the above method or prefer to use only a small portion of it, there is another option. You can use PowerPoint’s Screen Recording feature to capture the video and insert it on your slide.

  1. Open the video on YouTube along with the slide in PowerPoint. Don’t play the video quite yet.
  2. Go to the Insert tab in PowerPoint and pick Screen Recording.
  1. In the toolbar that displays, optionally choose to record the audio and your pointer. These buttons are gray when selected.
  1. Click Select Area and you’ll see your cursor change to a crosshair symbol.
  2. Drag your cursor to capture the video area on YouTube.
  1. Press Play to start the video and Record in the Screen Recording toolbar.
  1. When you’ve captured what you need of the YouTube video, click Stop (square) in the Screen Recording toolbar.

You’ll then see the portion of the video you captured pop onto your slide and can press the Play button to view it.

Keep in mind that this version displays the YouTube video as a screen recording whereas the first method embeds the actual YouTube video. So, while you may see the YouTube video buttons and features, depending on how much of the screen you captured, these are unavailable in a screen recording.

Customize the video appearance and playback

With both of the above methods, you can then customize the appearance and playback of the video you embed.

Select the video and go to one or both of these tabs:

Video Format: Adjust the color or style, add a border or effect, and align or crop the video.

Playback: Trim the video, add a Fade effect, choose how to start the video, and loop or rewind the video.
